Terms & Conditions

These Terms & Conditions apply to all hypnotherapy services provided by HypnoRooms. By booking or attending a session, you agree to the terms outlined below.

1. Services and appointments

All HypnoRooms appointments, including introductory calls and hypnotherapy sessions, take place online via Zoom.

A free introductory consultation is available before booking paid sessions. This provides an opportunity to discuss your circumstances, what you would like to change and whether my approach is appropriate for you.

Standard hypnotherapy sessions last approximately 45 minutes to 90 minutes, depending on the agreed appointment.

2. Fees and payment

Current session fees are displayed on the HypnoRooms website at the time of booking.

Payment is required in advance via the available online payment methods or by bank transfer where agreed.

Fees may be reviewed from time to time. Any changes will be communicated before a new booking is made and will not retrospectively affect sessions already paid for.

Fees cover the time, preparation and professional service provided.

Although I aim to make the work as effective as possible, individual responses vary and no particular outcome or number of sessions can be guaranteed.

3. Cancellation and rescheduling

A minimum of 24 hours' notice is required if you need to cancel or rearrange an appointment.

Appointments cancelled or rearranged with less than 24 hours' notice may be charged at the full session fee.

If you do not attend an appointment without prior notice, the full session fee remains payable.

If you need to rearrange an appointment, please contact me as soon as possible. I will do my best to offer an alternative appointment, subject to availability.

If HypnoRooms needs to cancel or rearrange an appointment, as much notice as possible will be given and an alternative appointment will be offered.

These arrangements do not affect any statutory cancellation rights you may have under consumer law.

4. Online session requirements

To ensure that your online session can take place safely and effectively, you are responsible for having:

  • A suitable device with a working webcam and microphone.
  • A stable internet connection.
  • A quiet, private space where you will not be disturbed.
  • A comfortable seated position with adequate head support.
  • A suitable environment where you can participate without distractions or interruptions.

Please join your Zoom session at the agreed time. Your camera must remain switched on throughout the session unless otherwise agreed.

Sessions should not be attended while driving, travelling or undertaking activities that require your attention.

Please ensure that you are alone during adult sessions unless we have agreed otherwise beforehand.

5. Technical difficulties

Please ensure that your device, internet connection and Zoom access are working before your appointment.

If a technical issue occurs during a session, we will first attempt to reconnect using the original Zoom link.

If the problem is on your side and the session cannot continue, the appointment may be shortened or ended, and the full fee may remain payable.

If the problem is caused by HypnoRooms' equipment or internet connection and the session cannot continue, a replacement appointment will be offered at no additional cost.

If the connection is interrupted, we will use the agreed alternative contact method to establish whether the session can safely resume.

Hypnotherapy sessions cannot be continued over the telephone.

6. Health information and suitability

Before beginning hypnotherapy, you must provide accurate and relevant information about your health, medical history, medication and any circumstances that may affect your suitability for the work.

You must inform me of any significant changes to your health, medication or personal circumstances during the period in which we are working together.

Hypnotherapy is a complementary approach. It does not replace medical diagnosis, treatment, medication or advice from a qualified healthcare professional.

You should continue to follow any medical advice or treatment you have been given. If your circumstances indicate that another form of support would be more appropriate, I may recommend that you seek this before or alongside hypnotherapy.

I reserve the right to decline or discontinue sessions if I consider that hypnotherapy is unsuitable or falls outside my professional competence.

7. Nature of hypnotherapy and individual results

Hypnotherapy is a collaborative process requiring your willingness to participate.

Although I draw on different therapeutic approaches and tailor sessions to your individual circumstances, everyone responds differently.

No specific outcome, improvement or timescale can be guaranteed.

You remain in control throughout the session and can communicate if you feel uncomfortable or wish to pause or stop the process.

Hypnotherapy is not an emergency or crisis intervention service and does not provide out-of-hours support.

8. Confidentiality and privacy

Information shared during sessions is treated as confidential and handled with respect and discretion.

There are circumstances in which confidentiality may need to be limited, including:

  • Where there is a serious risk of harm to you or another person.
  • Where there are safeguarding concerns involving a child or vulnerable person.
  • Where disclosure is required by law or a court order.

Where possible and appropriate, this will be discussed with you before information is shared.

Relevant information may also be discussed in professional supervision, with identifying details removed wherever reasonably possible.

Personal information and session records are stored and handled in accordance with applicable UK data protection legislation. Further details about how your information is collected, used and retained are provided in the HypnoRooms Privacy Policy.

9. Children and teenagers

For clients under 18, a parent or legal guardian must provide consent before hypnotherapy begins.

An initial discussion with the parent or carer will take place to understand the circumstances and establish whether the approach is appropriate.

Children and teenagers must be willing to participate in sessions. Hypnotherapy cannot be imposed on a child or young person who does not wish to take part.

Parents and carers are expected to support the arrangements necessary for safe and appropriate online sessions. For clients under 16, a parent, carer or agreed responsible adult must be present during the session. They may leave the room at times during the session but must be around to connect and disconnect the call.

Children and teenagers are entitled to appropriate privacy during their sessions. However, confidentiality has limits, particularly where there are concerns about their safety, wellbeing or risk of harm.

Where necessary, relevant concerns will be discussed with a parent or legal guardian and appropriate safeguarding action will be taken.

10. Recording of sessions

Neither HypnoRooms nor the client may record, photograph, screenshot or otherwise reproduce an online session without prior written agreement.

Any recordings or therapeutic materials specifically provided by HypnoRooms are intended solely for the individual client and must not be distributed, reproduced or shared without permission.

11. Standards of behaviour

I undertake to treat every client with respect, professionalism and consideration.

In return, clients are expected to behave respectfully throughout all communications and sessions.

Sessions must not be attended under the influence of alcohol or recreational drugs. Prescribed medication should be disclosed where relevant and must not be stopped or altered for the purpose of hypnotherapy without appropriate medical advice.

Abusive, threatening, discriminatory or inappropriate behaviour will not be tolerated. I reserve the right to end a session or discontinue further appointments where necessary.

12. Ending or discontinuing sessions

You are free to discontinue hypnotherapy at any time.

Equally, I reserve the right to discontinue working with a client where I consider that the approach is unsuitable, the client's needs fall outside my professional competence or continuing would not be in their best interests.

Where appropriate, I will explain the reasons and recommend alternative or additional support.

Any outstanding fees and applicable cancellation arrangements will remain subject to these Terms & Conditions and your statutory rights.

13. Agreement

By booking or attending a HypnoRooms appointment, you confirm that you have read and understood these Terms & Conditions and agree to abide by them.

For clients under 18, this agreement must also be acknowledged by the parent or legal guardian providing consent.
